Booking Conditions
An initial deposit of 50% of the specified "Base Safari Rate" is required to confirm the safari. A "Payment Schedule" will be outlined in the client's safari agreement indicating due dates for additional payments. Failure to make payments timely, according to the schedule will result in cancellation of the safari.
TERMS AND CONDITIONS
CLIENT EXPRESSLY UNDERSTANDS AND AGREES AS FOLLOWS:
1) An initial deposit in the amount of 50% of the Base Safari Rate is required to confirm the safari
2) Final payment of Base Safari Rate is due and payable not less than 90 days prior to the first safari date.
3) FAILURE TO TIMELY AND FULLY PAY ANY OF THE ABOVE PAYMENTS MAY, AT THE SOLE ELECTION OF SWANEPOEL & SCANDROL SAFARIS, RESULT IN CANCELLATION OF THE SAFARI; ALL MONEY PAID PRIOR TO SUCH CANCELLATION SHALL BE FORFEITED BY CLIENT AND RETAINED BY SWANEPOEL & SCANDROL SAFARIS AS LIQUIDATED DAMAGES.
4) In the event Client terminates the safari prior to the scheduled termination date for any
reason, or the Professional Hunter terminates the safari prior to the scheduled termination date
for incompatible or unsafe hunting behavior, no part of the “Base Safari Rate”shall be
refunded.
5) All monetary amounts that are to be paid in Zambia are in U.S. Dollars and are payable in cash only. Personal checks or other forms of payment are accepted only with the written approval of Swanepoel & Scandrol Safaris. Clients may create a pre safari account with the Pittsburgh office to handle all safari related fees to avoid carrying cash to Africa.
6) Base Safari Rates and or animal/trophy fees may be subject to change due to unforeseen Government Fee and/or Cost of Operation Increases. If this occurs, then client and outfitter will mutually agree on increased cost of safari. If client does not agree with the new Base Safari Rate, then client has option to move deposit to another safari with Swanepoel and Scandrol Safaris or request a full refund. Increased charter rates do not apply to this “term and condition”.
7) Client acknowledges and agrees that Swanepoel and Scandrol Safaris may withhold shipping of any and all animals harvested unless and until the “Base Safari Rates” and any additional fees have been paid in full.
POSTPONEMENT REQUESTS
1) Any postponement request of a safari must be in writing to the Pittsburgh office. The Company, as its sole discretion, retains the right either to accept or refuse such postponement request, which shall only be effective upon its acknowledged receipt by The Company.
2) In the event of an agreed postponement that would shift the safari by one or more seasons, the deposit will be debited with an administration fee of 10% of the contracted “Base Safari Rate” per client plus the salary of the Professional Hunter/Guide if the original dates for that Professional hunter or guide cannot be rebooked.
3) The balance of the deposit if a postponement is agreed to, will be put forward to the new dates. A second request for a postponement will be treated as a full cancellation, and the balance of the deposit shall be forfeited. If you request a postponement of your safari after the final balance has been paid or due (within 90 days ahead of the starting date) and in the event the Company does not agree to a postponement, the whole Base Safari Rate is forfeit subject to the cancelation provisions below.
CANCELLATIONS AND NO SHOWS
1) Any cancellation of reservation must be in writing to the Pittsburgh office and shall only be effective upon its acknowledged receipt by The Company.
2) In the event of a cancellation prior to 90 days before the safari you will forfeit the deposit in total. If you totally cancel your trip after the final balance has been paid (90 days prior to the first scheduled hunting date), the Base Safari Rate is forfeited in full unless the Company is able to resell the safari. If the safari is resold, the proceeds will be returned to the Client less a 15% administration fee.
3) If you cancel within 72 hours of your planned arrival or are a no show, The Company will
treat your reservation as cancelled and all payments made by you will be forfeited subject to the resell provision in 2 above which shall also apply to any other payments such as license/trophy fees, air charter etc.
REFUNDS
No refunds are given except as outlined above..
Note:
(1) If you only complete a portion of your trip and leave early- the section left unused cannot be refunded or reused on a future safari booking.
(2) For lost travel time or substitution of facilities.
(3) For itineraries amended after departure.
(4) For circumstances arising beyond the Company’s control necessitating alternative arrangements to be made to ensure the safety and/or further participation and enjoyment of your trip.
(5) If you do not appear for any accommodation/service, sightseeing or trip segment.
